1. Information We Collect
Registration information: Corporation name, DBA name, EIN, partner names, phone numbers, email addresses, physical address, and ZIP code.
Identity documents: Driver's License, Texas Sales & Use Tax Permit, EIN certificate, and location photographs — collected via mobile app for verification only.
Email price data: When you install our Chrome extension and grant email access, we read and extract fuel pricing information only from the specific jobber email addresses you designate. We extract: jobber name, grade names, prices per gallon, and email timestamp. We do NOT store the body content of your emails.
Usage data: Pages visited on our website, extension usage frequency, price views, and general platform interaction data — used to improve our service.
Device information: Browser type, operating system version, and IP address for security and fraud prevention purposes.
2. How We Use Your Information
- To verify your identity and business credentials
- To display fuel price rankings on your dashboard
- To facilitate connections between buyers and vendors
- To send you price alerts and platform notifications
- To perform soft credit checks as authorized during registration
- To improve our platform and fix technical issues
- To comply with legal obligations
We do NOT use your data for advertising, and we do NOT sell your data to third parties.
3. Email Access — Chrome Extension
Our Chrome extension uses Google OAuth (Gmail), Microsoft OAuth (Outlook), or a backend proxy (Yahoo Mail) to access your email. We operate on a strict principle of minimum necessary access:
- We request read-only access — we can never send emails on your behalf
- We only read emails from the specific sender addresses you manually add
- We do not access your inbox, sent mail, drafts, or any other folder contents
- We do not store the original email content — only the extracted price numbers
- You can revoke access at any time in your Google/Microsoft account settings or by uninstalling the extension
Our use of Gmail data complies with Google's API Services User Data Policy, including the Limited Use requirements.
4. Data Sharing
We share your information only in these limited circumstances:
- With verified fuel jobbers (Vendors): Only your station location (ZIP code), fuel grades of interest, and contract expiry details if you opt into Phase 2 — never your personal contact details unless you initiate contact
- Service providers: Hosting (Hostinger), email delivery, and analytics providers who are contractually bound to protect your data
- Legal requirements: When required by law, court order, or governmental authority
- Business transfer: If TrueFuel is acquired, with notice to you and the same privacy protections
We never sell, rent or trade your personal information to third parties for marketing purposes.
5. Data Security
We protect your data using:
- HTTPS encryption for all data transmission
- Encrypted storage of all sensitive documents and credentials
- Password hashing (bcrypt) — we never store plain-text passwords
- Session-based authentication with 8-hour expiry
- Regular security audits and penetration testing
Despite these measures, no internet transmission is 100% secure. Please use strong passwords and keep your login credentials confidential.
6. Data Retention
- Account data: Retained while your account is active + 90 days after deletion
- Price data: 90 days rolling history
- Identity documents: Deleted within 30 days of verification completion
- Email OAuth tokens: Deleted immediately upon access revocation
- Legal/billing records: 7 years as required by US law
7. Your Rights
You have the right to:
- Access all personal data we hold about you
- Correct inaccurate information
- Request deletion of your account and data
- Export your data in a portable format
- Revoke email access at any time without closing your account
- Opt out of non-essential communications

8. Children's Privacy

9. Changes to This Policy
We may update this Privacy Policy occasionally. We will notify you of material changes by email and by posting a notice on our website at least 14 days before changes take effect. Continued use of the platform after changes constitutes acceptance.
